Privacy Policy

The actual Privacy Policy of personal data (hereinafter – the Privacy Policy) applies to all information that the VanRent company, located at the address https://www.vanrent.com.ua/, can obtain about the User during the use of the VanRent website, programs and products of the VanRent company.

1. Definition of terms..

1.1 The following terms are used in this Privacy Policy:

1.1.1. “Administration of the VanRent company site (hereinafter referred to as the Site Administration)” – employees authorized to manage the site, acting on behalf of the VanRent company, who organize and carry out the processing of personal data, as well as determine the purposes of personal data processing, the composition of personal data to be processed, actions or operations performed with personal data.

1.1.2. “Personal data” – any information relating directly or indirectly to a specific or identifiable natural person (subject of personal data).

1.1.3. “Processing of personal data” – any action (operation) or set of actions (operations) carried out with the use of automation tools or without the use of such tools with personal data, including collection, recording, systematization, accumulation, storage, clarification (updating, change), extraction, use, transfer (distribution, provision, access), depersonalization, blocking, deletion, destruction of personal data.

1.1.4. “Confidentiality of personal data” is a mandatory requirement for compliance by the Administrator or another person with access to personal data to prevent their distribution without the consent of the subject of personal data or the presence of another legal basis.

1.1.5. “VanRent website user” is a person who has access to the Website via the Internet and uses the VanRent website.

1.1.6. “Cookies” are a small piece of data sent by the web server and stored on the user’s computer, which the web client or web browser sends to the web server in an HTTP request every time when trying to open the page of the corresponding site.

1.1.7. “IP address” is a unique network address of a node in a computer network built according to the IP protocol.

2. Terms.

2.1. The User’s use of the VanRent company website means consent to this Privacy Policy and the terms of processing the User’s personal data.

2.2. In case of disagreement with the terms of the Privacy Policy, the User must stop using the VanRent website.

2.3. The actual Privacy Policy applies only to the VanRent website. The VanRent website does not control and is not responsible for third-party websites to which the User can go through the links available on the VanRent website.

2.4. The website administration does not verify the authenticity of personal data provided by the User of the VanRent website.

3. The subject of the privacy policy.

3.1. The actual Privacy Policy establishes the obligations of the VanRent website administration regarding non-disclosure and ensuring the privacy protection regime of personal data, which the User must provide to the website administration upon request when registering on the VanRent website or when making a reservation.

3.2. Personal data permitted to be processed under this Privacy Policy is provided by the User by filling out the registration form on the VanRent website and includes the following information:

3.2.1. Name of the User;

3.2.2. the User’s contact phone number;

3.2.3. email address (e-mail);

3.2.4. address of registration (registration);

3.2.5. date of birth;

3.2.6. scan copy of passport (pages with photo and registration), driver’s license and identification code;

3.3. The VanRent company website protects the Data that is automatically transmitted during the viewing of advertising blocks and when visiting pages on which a system statistical script (“pixel”) is installed:

  • IP addresses;
  • information from cookies;
  • information about the browser (or other program that accesses the display of advertisements);
  • access time;
  • the address of the page on which the advertising block is located;
  • referrer (address of the previous page).

3.3.1. Disabling cookies may make it impossible to access parts of the VanRent website.

3.3.2. The VanRent website collects statistics about the IP addresses of its visitors. This information is used for the purpose of identifying and solving technical problems, to control the legality of financial payments made.

3.4. Any other personal information not stipulated above (booking history, used browsers and operating systems, etc.) is subject to reliable storage and non-distribution, except for the cases provided for in paragraph 5.2. and 5.3. of this Privacy Policy.

4. The purpose of collecting personal information.

4.1. The User’s personal data may be used by the VanRent website administration for the purposes:

4.1.1. Identification of the User for placing an order and (or) concluding a Contract for the reservation of a car remotely with the VanRent company.

4.1.2. Providing the User with access to the personalized resources of the VanRent Website.

4.1.3. Establishing feedback with the User, including the direction of messages, requests related to the use of the VanRent Company Site, provision of services, processing of requests and applications from the User.

4.1.4. Determining the location of the User to ensure security and prevent fraud.

4.1.5. Confirmation of authenticity and completeness of personal data provided by the User.

4.1.6. Notification of the User of the VanRent Website about the status of the car reservation.

4.1.7. Processing and receipt of payments, confirmation of tax or tax benefits by the User.

4.1.8. Providing the User with effective customer and technical support in the event of problems related to the use of the VanRent website

4.1.9. Providing the User with his consent, updates, special offers, price information, newsletters and other information on behalf of the VanRent Company Site.

4.1.10. Carrying out advertising activities with the consent of the User.

4.1.11. Providing the User with access to the sites or services of VanRent company partners in order to obtain products, updates and services.

5. Methods of data collection and processing.

5.1. The processing of the User’s personal data is carried out without a time limit, in any legal way, including in personal data information systems with the use of automation tools or without the use of such tools.

5.2. The User agrees that the Administration of the VanRent website has the right to transfer personal data to third parties, solely for the purpose of fulfilling the User’s order placed on the Company’s Website https://www.vanrent.com.ua/

5.3. The User’s personal data may be transferred to the authorized bodies of the state authorities of Ukraine only on the grounds and in the manner established by the legislation of Ukraine.

5.4. In case of loss or disclosure of personal data, the Site Administration informs the User about the loss or disclosure of personal data.

5.5. The site administration takes the necessary organizational and technical measures to protect the User’s personal information from illegal or accidental access, destruction, distortion, blocking, copying, distribution, as well as from other illegal actions of third parties.

5.6. The site administration, together with the User, takes all necessary measures to prevent losses or other negative consequences caused by the loss or disclosure of the User’s personal data.

6. The user is obliged.

6.1. The user is obliged:

6.1.1. Provide information about personal data necessary for using the VanRent Company Website.

6.1.2. Update, supplement information about personal data in case of changes to this information.

6.2. The site administration is obliged to:

6.2.1. Use the received information exclusively for the purposes specified in Clause 4 of this Privacy Policy.

6.2.2. To ensure that confidential information is kept confidential, not to be disclosed without the prior written consent of the User, as well as not to sell, exchange, publish, or disclose in other possible ways the transferred personal data of the User, with the exception of para. 5.2. and 5.3. of this Privacy Policy.

6.2.3. Take precautions to protect the confidentiality of the User’s personal data in accordance with the procedure that is usually used to protect this kind of information in the existing business turnover.

6.2.4. To block personal data related to the relevant User from the moment of application or request by the User or his legal representative or the authorized body for the protection of the rights of personal data subjects for the period of verification, in case of detection of unreliable personal data or illegal actions.

7. Responsibilities of the parties.

7.1. The administration of the site, which has not fulfilled its obligations, is responsible for the losses incurred by the User in connection with the improper use of personal data, in accordance with the legislation of Ukraine, with the exception of the cases provided for in paragraph 5.2., 5.3. and 7.2. of this Privacy Policy.

7.2. In case of loss or disclosure of Confidential Information, the Administration of the VanRent website is not responsible if this confidential information:

7.2.1. Became public property until its loss or disclosure.

7.2.2. It was received from a third party before it was received by the Administration of the VanRent website.

7.2.3. It was disclosed with the consent of the User.

8. Dispute resolution.

8.1. Before filing a claim in court in disputes arising from the relationship between the User of the VanRent website and the Administration of the VanRent website, it is mandatory to submit a claim (a written proposal for voluntary settlement of the dispute).

8.2. The recipient of the claim shall, within 30 calendar days from the date of receipt of the claim, inform the applicant of the claim in writing about the results of the consideration of the claim.

8.3. In case of failure to reach an agreement, the dispute will be referred to a judicial authority in accordance with the current legislation of Ukraine.

8.4. This Policy of confidentiality and relations between the User and the Administration of the VanRent website is governed by the current legislation of Ukraine.

9. Additional conditions.

9.1. The administration of the VanRent website has the right to make changes to this Privacy Policy without the User’s consent.

9.2. The new Privacy Policy enters into force from the moment it is posted on the VanRent Website, unless otherwise provided by the new version of the Privacy Policy.
